Use this page to plan how people sign in to Linea and what they are allowed to do.
Access model
Linea is designed for managed business email operations, so access should be assigned by role rather than shared informally.
A standard access model includes:
- Workspace admins for platform configuration and user management.
- Security or compliance owners for policy reviews and operational oversight.
- Billing contacts for subscription and invoice management.
- Standard users for day-to-day mailbox usage.
Recommended role design
Admins
Admins should have the fewest people possible while still covering operations.
Typical admin responsibilities:
- Add or remove users.
- Configure domains and mailboxes.
- Review workspace settings.
- Coordinate onboarding and escalations.
Standard users
Standard users should only have access to the mailboxes, domains, and workflows required for their job.
Shared mailbox access
If your team uses group inboxes or operational mailboxes, define ownership clearly:
- Primary owner.
- Backup owner.
- Teams with read access.
- Teams with send or reply permissions.
Authentication guidance
When available in your deployment, enable your strongest supported authentication controls and keep the following standards in place:
- Use individual user accounts.
- Avoid generic shared admin logins.
- Remove access promptly when people change roles.
- Review admin access on a regular schedule.
Access review checklist
Review access whenever you:
- Add a new department.
- Promote or transfer users.
- Introduce a shared mailbox.
- Change billing ownership.
- Enable API access or a new integration.
Requesting changes
For access changes during onboarding or managed deployments, route requests through your designated Linea admin or customer contact so operational and security controls stay consistent.
